G Suite users should use these security measures to control their privacy and security settings

There are several G Suite Administrators settings that you can choose from when it comes to privacy of the new G Suite files, security configuration for account sign-ins and sharing settings on Team drives. Usually, G Suite Admin opts for default settings that keep the G Suite Files private which will be only viewable to the creator of the file. Team Drives allows the file to be shared externally and 2 step authentication for enabling improved security measures. 

The G Suite security configuration depends on different organization according to their requirements and security concern. For example, there are organizations that store files on Windows server and their security configuration is only defined to allow access from the systems that are connected via Ethernet. But with this very few files or folders are private because once signed-in to the account most of the files are available to everyone. As the organization went on board with G Suite they wanted the same security and privacy setting on G Suite when the files were stored on Windows Server. So with this we learn that G Suite settings can be customized to the needs of the user.

In this article, there are 3 main G Suite settings that you should consider when configuring the security and privacy settings on G Suite.

G Suite Files: Private or Public:

Each Document, Sheet or Slide that you create on G Suite is only accessible to the people who have created it. Now there are some people who want to keep files stored on the G Suite viewable by other team members. As the files are kept private by default you can change this setting to the people that you want to share it with. 

To do so you have to go to the Admin Console and then click on apps and you will see a set of applications so in that you have to click on G Suite. Once G Suite is open you can go to the Drive and Docs and open the sharing settings. You will see an option called Link sharing defaults and then choose “OFF” or “ON”. 

ON - Anyone at <your organization> with the link (here only with the links can access the files)
Or ON - Anyone at <your organization> (here you don’t need any link to access the files)

Once you enable this setting by making it public the team members will be able to see your files. But the files will be only viewable to the team members that you select and not to the world. In future, if you want to change the privacy setting then you can change the settings to private.

Files on Team Drives:

The files that are stored on the Team Drive in the G Suite can be accessed by all the team members. The G Suite Admin can remove or add the team members and configure the permission settings of each team member. When the member is been added by the G Suite to the Team Drive the member can access the files that are stored on the Team Drive. If the member is been removed from the Team Drive then he/she will lose all the access to the files. 

The Team Drive is been created with an aim to add a set of team members that can share the files or view the files or make any changes on them. Now the G Suite Admin can change their privacy settings by controlling the access of the team members. You can limit the access of the team members by not allowing them to share the files outside the organization and restrict downloading, printing or copying any content. 

It is recommended to configure the settings to “Edit access” instead of “full access” because this will allows the member to add or edit the file but they won’t be able to remove or delete the data. 

To do so you have to go to the Admin Console and then click on apps and you will see a set of applications so in that you have to click on G Suite. Once G Suite is open you can go to the Drive and Docs and open Manage Team drives. You will find a list of settings where you can edit or control the access by specifying the user role based on sharing, downloading, accessing content, printing or copying. 

Two-step Verification:

If you want to improve your security measure then you should add Two-step verification. This way the people will require you to sign-in with the account name and password. Once they have entered the correct credentials then the Google will approve the access. You can also approve the access through other means by enabling Google to make a call with an identification key number, SMS message, security key or an authenticator app. 

To do so you have to go to the Admin Console and then click on Security. Once you have done that, the basic settings page will pop up and you have to click on Two-Step Verification and check the box that mentions “Allows the users to turn on Two-Step Verification”. Google G Suite Users will have to make a switch to the new Gmail compulsory by October 2018

Most of the Google G Suite users are not completely ready to accept the new change Google has made to its design. But unfortunately they are running out of time so they have to make a switch as early as possible. 

In the Google Blog Post, Google disclosed that they will be allowing their administrators to start transferring their team over the next month. G Suite is a Google’s business line of software that helps teams in the organization to collaborate with each other in a more efficient way.

The Gmail update about the new design template will be optional till the month of September but in the month of October, Google will make it compulsory for everyone to make a switch to the new design and the opt-out button will be no longer available. Basically, all the G Suite users will be forced to make a switch to the new design in October with no opt-out option. 

Google had announced the updated version of Gmail in April 2018. This is the first major update to the Gmail for a long span of time that is loaded with many features which includes AL generate contextual replies that delivers Smart Replies and it also shows attachments in the mail right in the inbox so that you don’t have to open a mail just to see what’s attached in the mail. 

Now the G Suite administrators can use the Gmail in their own web domain rather than Google’s in spite of G Suite being the Google Services. The new Gmail design has a fresh and clean look for the Gmail on the web which makes it easier to be accessible and you can easily use other Google Services. 

They are also implementing native offline support for the Google users which will be part of Gmail on the web by June. Gmail users can also “snooze” emails so that they can reappear later at a configured time.

How to get Spam out of the Inbox?


It is indeed very easy to manage Spam in your inbox so don’t worry, just sit back and read the whole article. Firstly to identify the spam message you need check the sender’s email address and not just the sender’s name. Many times any name can be listed in the sender’s details thus it is not necessary that the sender’s email address has to match the name and vice versa. If there is an email account the spam is appearing from and if you know the person then you can notify them so that they can change the password so that there is no password breach but make sure that you don’t email regarding this instead text, call or notify them about this personally.

There is also another method of the getting the spam out of the inbox by selecting the message and then click on “Mark as Spam” button which is on the top middle bar just below the search bar and moves the email to spam.

But even after doing all this you are still receiving the specific unwanted message then you can create a filter. First, select the spam message and then select “More” from the drop-down menu and then choose “Filter messages like these” You can adjust the filter set according to your customization and then choose the “Create filter with this search.”  After this check the messages that you selected so that to make sure that they match. Select “Delete” and then “create filter”. By doing this you will no longer get the message from the specific sender you chose.

Block Spam Email from the Domain:-


G Suite Administrator can block spam email or message for everyone who is within a group. Just Sign in to the Admin console and then go the apps to G Suite and then click Gmail and then tap on advanced settings and search for Blocked Senders option and then click on “Configure”. You can add more email addresses or domains which are spam. You can also keep your inbox strict by filtering spam but there are chances where even good emails might go to spam so you will have to review spam folder frequently.

Verify you Security Settings:-


You can verify security settings of any email account so that you can identify that does the email provider supports modern email standards which will help you reduce spamming and prevent fake emails entering your inbox. You can use tools that will make it tough for the spammers to send an email that may seem to be from your account so such tools are Sender Policy Framework; Domain-based Message Authentication Conformance and Reporting and DomainKeys Identified Mail.   • The GSuite Admin can now add details about the office’s conference rooms with details on the location of the conference room also as to know how many people can fit in the room and the available tech. You can also see the specifics while booking the room which will make it convenient to know which one is right. With this latest release, the contact info for other people attending the meeting can be viewed by simply navigating the mouse toward someone’s name.

  • You can see multiple schedules side by side when you want to know when everyone is available. Earlier it was showcased on one tab which made it look jumbled up and messy. You can also get a side-by-side view by just checking the box next to the other staffer’s name on the left-hand toolbar.

  • Links can now be added to spreadsheets, documents, and presentation with an invite. There will be no need to email separately the links which will ultimately make it convenient to keep everything in one place.

Not many changes are done to the new updated version of Google Calendar but it was all necessary because it will help users to be organized. Now the users can easily organize their calendars without any mess that use to be created with the earlier version.
